How to schedule each email so it sends itself

Paste each message into a new email and use your mail app's Schedule send with the date shown on the step. Import the .ics file so you also get a calendar reminder for each one.

Gmail (web or app)

  1. Click Open draft (or Compose and paste the subject and message).
  2. Click the โ–พ arrow next to Send (on the app: the โ‹ฎ menu).
  3. Choose Schedule send โ†’ Pick date & time and enter the step's send date.
  4. Scheduled emails sit in the Scheduled folder. If the client pays, open the rest and click Cancel send.

Outlook

  1. Outlook on the web / new Outlook: click the โ–พ arrow next to Send โ†’ Schedule send โ†’ Custom time.
  2. Classic Outlook for Windows: Options โ†’ Delay Delivery โ†’ tick "Do not deliver before" and set the date. Classic Outlook must be open at that time for it to send.
  3. Outlook for Mac: click the โ–พ arrow next to Send โ†’ Schedule send.
  4. Paid early? Delete the remaining scheduled messages (Drafts / Scheduled / Outbox).

Calendar reminders: double-click the .ics file, or import it in Google Calendar (Settings โ†’ Import & export) or Outlook (File โ†’ Open & Export โ†’ Import). Each event's description contains the full email.

FAQ

Does this send emails for me?

This free builder doesn't. Nothing you type leaves your browser, and you schedule each email yourself with Gmail or Outlook's Schedule send, so it comes from your own address. If the client pays, cancel the rest. Want them sent automatically? PayNudge Autopilot emails each reminder on schedule and stops when the client pays ($9/mo, free tier available).

What's the best reminder cadence?

A friendly heads-up 3 days before the due date, a friendly nudge the day after, firm follow-ups at 7 and 14 days late, then a final notice around day 21. See overdue invoice follow-up emails for more detail.

What if the final notice doesn't work?

Read what to do after a final notice: payment plans, demand letters, small claims limits by state, collections and more.
